A. General Personal Information

  • Name and Surname.

  • Contact details (Phone number, Email address, Physical address).

  • Date of Birth.

B. Special Personal Information (Health Data) due to the medical nature of our nursing services and the invasive nature of advanced aesthetic treatments (such as CO2 Laser and Permanent Makeup), we are required to collect:

  • Medical history (including chronic conditions, surgeries, and current medications).

  • Allergy information.

  • Vital signs (Blood pressure, glucose levels, etc., for nursing patients).

  • Skin type and history of skin treatments.

C. Visual Data

  • Photographs of the treatment area (e.g., nails, brows, or wounds) for the purpose of monitoring progress and maintaining accurate client files.

Why We Collect This Information

We process your data for the following specific purposes:

  • Safety: To identify contraindications (reasons why a treatment might not be safe for you) based on your medical history.

  • Legal Compliance: To maintain accurate nursing records as required by the South African Nursing Council (SANC) and South African law.

  • Communication: To confirm appointments, send follow-up care instructions, or respond to your inquiries.

  • Emergency: To act primarily in your best interest in the event of a medical emergency during a treatment.

How We Store Your Data

As a home-based practice, we take specific measures to ensure your data is secure:

  • Physical Files: All paper-based Client Intake Forms and medical files are stored in a locked facility/cabinet accessible only to Marna Olivier.

  • Digital Files: Any electronic records are stored on password-protected devices with up-to-date security software.

  • Retention: We retain medical records for the duration required by South African law.

Photographs and Social Media

We distinguish clearly between clinical records and marketing images.

  • Clinical Records: Photos taken to track the healing process of a wound or the progress of a laser treatment are part of your confidential medical file and are never shared publicly.

  • Marketing (Social Media/Website): We love to showcase our nail art and brow transformations! However, we will never post a photo of you or your results on social media (Facebook/Instagram) or our website without your express, written consent. You have the right to decline this at any time.

Sharing of Information

We do not sell your personal information to third parties. We will only share your information if:

  • You have given us specific consent to do so.

  • We are referring you to another medical professional (e.g., a doctor or specialist) for further care.

  • We are required to do so by law.

Your Rights

Under POPIA, you have the right to:

  • Request access to the personal information we hold about you.

  • Request the correction or update of your details.

  • Request the deletion of your personal data (subject to our legal obligation to keep nursing records for a set period).
